We take the protection of your personal data seriously and will treat your personal data confidentially and in accordance with data protection law. Our following Data Protection Notice shall help you understand how we collect, use and protect the data provided by you.

Following the current legislation on data protection, Regulation (EU) 2016/679 of the European Parliament and Council of April 27th 2016 (GDPR), Organic Law on the Protection of Personal Data of Spain (LOPDCP, 15/99), Regulation of development of the LOPDCP (Royal Decree, 1720/2007, December 21st), we inform you of the Policy on the Protection of Personal Data, as it relates to the processing of personal data, is detailed below.

What personal information do we gather about you and how do we protect it?

Personal data is any information about an identified or identifiable natural person.

For the purposes established in this Privacy Policy, the person in charge collects and processes the personal data that are explained in each type of treatment, and which will depend on the different services that you request or the contractual relationship that you have with our entity.

This organisation commits to treat with total confidentiality and to apply appropriate security measures, physical, technical and organisational, for the protection of your personal data.

You guarantee and respond, in any case, the veracity, accuracy, validity and authenticity of the personal data provided and undertakes to keep them properly updated.

Processing of “third party contact” data

1. What kind of personal data do we process?

  • Identificative data: name, address, company, country, email.

2. For what purpose do we process your personal data?

  • We process the personal data you provide us in the contact form for the management of contact data with third parties.
  • The purpose of advertising and diffusion of our activities has also been foreseen, for which the express consent of the interested party is requested.
  • The personal data provided will be kept for as long as the business relationship is maintained. If you decide to cancel your personal data, it will be deleted from our contact database.

3. What is the legitimacy of the processing of your data?

  • The legal bases for the treatment of your data is the express consent requested of you.

4. To which destinations will your data be communicated?

  • Your personal data will not be transferred to any other entity.
  • No international transfers of personal data are envisaged either.

Websites

Our websites (www.eacn-initiative.eu) may as a rule be used without providing any personal data. If any personal data (e.g. name, address, email address) are collected on our pages, this will always occur, where possible, on a voluntary basis.

However, the following personal data are automatically collected to enable us to show and improve the websites as well as to ensure their stability and security:

  • Date and time of retrieval of one of our webpages
  • IP address
  • Name and version of the web-browser
  • The website (URL) from which the user came to the retrieved page
  • The website (URL) of the retrieved page

Cookies

Our Websites use so called cookies. A cookie is a small text file which are stored with support of your browser on your device. They do not cause damage

We use cookies to make our websites more user-friendly. Some cookies stay on your device until you delete them. They enable us to recognize your browser at the next visit.

If you do not want this, you can set your browser to inform you before storing cookies, enabling you to allow this only in individual cases.

The functionality of our website may be limited when cookies are disabled.

Incorporation of third party services and content

It may occur that within our websites third party content, including for example YouTube videos, fonts of Google Fonts or maps of Google Maps are incorporated. In order to display this content, it is necessary for the provider to record the IP address of the user. We do not have any influence on whether third party providers store IP addresses, for example for statistical purposes.

Contact Form

All personal data provided by you via the contact form URL will be processed for the purpose of processing your request.

The legal basis for processing of the personal data is depending on your request, for example performance of a contract to which you are a party or taking steps prior to possibly entering into a contract. Your data is necessary for processing your request.

Events

Registration to events

All personal data provided by you for the registration of one of our events will be processed for the purpose of handling your registration and participation to the event.

The legal basis is performance of a contract or taking steps prior to entering into a contract. Without the mandatory data we cannot handle your registration and participation to the event.

At certain events of us (e.g. GSVF and ISNVH) we transmit your personal data to a payment provider for payment processing.

Image of participants within events and list of participants

We process images for the purpose of reporting about our events. Further, we include your name, title, name of your organization, your position in this organization and your email address in our list of participants. This list will be provided to the other participants of the same event to enhance interaction between the participants and to offer better opportunities for networking.

Images may be passed to media undertakings, social media platforms and similar services.

You may withdraw your consent anytime, please contact us by the contact details indicated below.

Newsletter and events– Info-Emails

Personal data (name, title, e-mail address, company, country) we received from you will be processed for the purpose of informing you about our research activities and events.

Legal basis is data protection law as well as your consent given by ticking the corresponding checkbox, by providing your business card, by email or in other form.

You may unsubscribe from the mailing list at any time by clicking on the corresponding link in the footer of each info-email.

Info-emails contain a so-called “web beacon”, i.e. a pixel-sized file that is retrieved from the server of the mail handling service when the info-email is opened. The retrieval process involves the collection of primarily technical information, such as information concerning the browser and your system, as well as your IP address and the time of retrieval. This information will be used for the technical and content wise improvement of the service. The information collected for statistical purposes will also include the fact as to whether the info-email is opened and any used links.

Further aspects

Storage period

We store your data for the period necessary for the corresponding purposes of the above indicated data processings. Moreover, it might be necessary to regard further legal periods of storage and of limitation.

Recipients

If necessary, we will provide your personal data to data processors. In the above-named data processings further recipients might be named.

You have principally the right to know what kind of personal data about you we process, as well as to rectification, erasure or restriction of your personal data or to object to processing as well as the right to data portability, subject to applicable data protection law. What are your rights when you provide us your data?

Following the rules of the Data Protection, you have rights related with the treatment of your personal data. The exercise of these rights will be free of charge to you, except in cases where manifestly unfounded or excessive requests are made, especially for repetitive requests. These rights are:

  • 1. Right to information: You have the right to be informed in a concise, transparent, intelligible and easily accessible manner, with clear and simple language, about the use and processing of your personal data.
  • 2. Right to access: You have the right to ask us at any time to confirm whether we are processing your personal data, to provide you with access to your personal data and information about their processing and to obtain a copy of such data. The copy of your personal data that we provide will be free of charge but the request for additional copies may be subject to a reasonable charge based on administrative costs. For our part, we may ask you to prove your identity or require further information necessary to process your request.
  • 3. Right to rectification: You have the right to request rectification of inaccurate, out-of-date or incomplete personal data concerning you. You may also request that incomplete personal data be supplemented, including by means of an additional declaration.
  • 4. Right of deletion: You have the right to request the deletion of your personal data when, among other reasons, the data are no longer necessary for the purposes for which they were collected. However, this right is not absolute, so our organisation may continue to keep them properly blocked in the cases provided for by applicable law.
  • 5. Right to limit processing: You have the right to request that we limit the processing of your personal data which means that we may continue to store it, but not continue to process it if any of the following conditions are met:
    • that you challenge the accuracy of the data, for a period of time that allows the person responsible to verify the accuracy of the data;
    • the processing is unlawful, and you oppose the deletion of the data and request instead the limitation of its use;
    • our entity no longer needs the data for the purposes of processing, but you need them for the formulation, exercise or defense of claims;
    • you have objected to the treatment, while verifying whether the legitimate motives of our entity prevail over yours.
  • 6. Right to data portability: You have the right to have your data transmitted to another data controller in a structured, commonly used and machine-readable format. This right applies when the processing of your personal data is based on the consent or performance of a contract and such processing is carried out by automated means.
  • 7. Right of opposition: This right allows you to object to the processing of your personal data, including profiling. We will not be able to comply with your right only when we process your data if we can demonstrate legitimate reasons for processing or for formulating, exercising or defending claims.
  • 8. Right not to be subject to automated decisions, including profiles: This right allows you not to be the subject of a decision based solely on automated processing, including profiling, which produces - such decisions - legal effects or affects you in a similar way. Unless such a decision is necessary for the conclusion or performance of a contract, is authorised by law or is based on consent.
  • 9. Right to lodge a complaint with a supervisory authority.
